OFFICE MANAGER

Job Description

We are a growing, fast-paced property management office located in Farmington Hills, MI seeking an office manager.

The ideal candidate will be enthusiastic, dependable, self-motivated and highly organized. The applicant will supervise staff, implement procedures, maintain administrative systems, and work closely with the human resources manager to implement office policies.

Responsibilities

    • Train, supervise, and support front desk office staff
    • Serve as the point person for office manager duties, including:
    • Maintenance
    • Mailing
    • Supplies
    • Equipment
    • Bills
    • Errands
    • Shopping
    • Schedule meetings and appointments
    • Organize the office layout and order stationery and equipment
    • Maintain the office condition and arrange necessary repairs
    • Partner with HR to update and maintain office policies as necessary
    • Organize office operations and procedures
    • Coordinate with the IT department on all office equipment
    • Ensure that all items are invoiced and paid on time
    • Assist in the onboarding process for new hires
    • Address employees queries regarding office management issues (e.g., stationery, Hardware, and travel arrangements)
    • Liaise with facility management vendors, including cleaning, catering, and security services
    • Plan in-house or off-site activities, like parties, celebrations, and conferences

Requirements and Skills

    • Proven experience (>3 yrs) as an Office Manager, Front Office Manager, or Administrative Assistant in a high paced Real Estate, Client facing environments preferred
    • Knowledge of Office Administrator responsibilities, systems, and procedures
    • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
    • Hands-on experience with office machines
    • Excellent time management skills and ability to multi-task and prioritize work
    • Attention to detail and problem-solving skills
    • Excellent written and verbal communication skills
    • Strong organizational and planning skills in a fast-paced environment
    • A creative mind with the ability to suggest improvements

Education and Experience

    • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Office hours are Monday - Friday, 8:30 AM - 5:30 PM.

Job Type: Full-time

  • Performing day-to-day financial transactions, including verifying, classifying, and recording accounts payable data

  • Managing bank and general ledger reconciliations

  • Matching, batching, coding, and entering invoices

  • Posting journal entries

  • Researching and resolving accounts payable or accounts receivable issues with customers or vendors

  • Maintaining cash applications, account reconciliations, chargebacks

  • Investigating and resolving accounts payable or accounts receivable 

  • Providing accounting and clerical assistance to the accounting department
