Job Description
We are a growing, fast-paced property management office located in Farmington Hills, MI seeking an office manager.
The ideal candidate will be enthusiastic, dependable, self-motivated and highly organized. The applicant will supervise staff, implement procedures, maintain administrative systems, and work closely with the human resources manager to implement office policies.
Responsibilities
- • Train, supervise, and support front desk office staff
• Serve as the point person for office manager duties, including:
• Maintenance
• Mailing
• Supplies
• Equipment
• Bills
• Errands
• Shopping
• Schedule meetings and appointments
• Organize the office layout and order stationery and equipment
• Maintain the office condition and arrange necessary repairs
• Partner with HR to update and maintain office policies as necessary
• Organize office operations and procedures
• Coordinate with the IT department on all office equipment
• Ensure that all items are invoiced and paid on time
• Assist in the onboarding process for new hires
• Address employees queries regarding office management issues (e.g., stationery, Hardware, and travel arrangements)
• Liaise with facility management vendors, including cleaning, catering, and security services
• Plan in-house or off-site activities, like parties, celebrations, and conferences
Requirements and Skills
- • Proven experience (>3 yrs) as an Office Manager, Front Office Manager, or Administrative Assistant in a high paced Real Estate, Client facing environments preferred
• Knowledge of Office Administrator responsibilities, systems, and procedures
• Proficiency in MS Office (MS Excel and MS Outlook, in particular)
• Hands-on experience with office machines
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Strong organizational and planning skills in a fast-paced environment
• A creative mind with the ability to suggest improvements
Education and Experience
- • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Office hours are Monday - Friday, 8:30 AM - 5:30 PM.
Job Type: Full-time
Performing day-to-day financial transactions, including verifying, classifying, and recording accounts payable data
Managing bank and general ledger reconciliations
Matching, batching, coding, and entering invoices
Posting journal entries
Researching and resolving accounts payable or accounts receivable issues with customers or vendors
Maintaining cash applications, account reconciliations, chargebacks
Investigating and resolving accounts payable or accounts receivable
Providing accounting and clerical assistance to the accounting department
